We are pleased to announce that we will soon support the Microsoft Teams Shared Device license on the Teams Android mobile application. The Teams Shared Device license offers a shared identity-based , common area phone experience, including basic and advanced calling, people search, voicemail and walkie talkie.

Microsoft Teams users will soon have a dedicated space to manage their meetings – “Meet”. The Meet app is a centralized hub for all meeting activity and content.

The feature is rolling out exclusively on the new Microsoft Teams across Desktop and Web, and will serve as the destination for pre, during and after meeting insights, content, and action items. With the Meet app, users can prepare for upcoming meetings, catch on something they missed, and find meeting content, agenda, notes, chats, and recaps – all in one place. 

Standard Release: We will begin rolling out in mid-October 2023 (previously mid-August) and expect to complete by mid-November 2023 (previously mid-September).

With privacy and security restrictions, we have implemented a user-level IT admin policy for admins to choose whether some or all users in the company can use Collaborative Annotations. Currently, there is a way to turn Annotations ON or OFF through cmdlet Set-SPOTenant-IsWBFluidEnabled, this will also influence Whiteboard.

Teams New Service Plan: Collaboration Security for Microsoft Teams MC661823 · Published Jul 28, 2023

Collaboration security capabilities for Microsoft Teams will be generally available for all users of Microsoft Defender for Office 365.

Your Microsoft Defender for Office 365 subscription is being updated with a new service plan: Collaboration security capabilities for Microsoft Teams will be made generally available for all users by late August 2023.

With this update, Teams Panels will support reserving a room using a QR code. This feature lets Microsoft Teams users book a room for meetings now, in the future, or add the room to an existing meeting by scanning a QR code on the scheduling panel and using the Teams app on their Android or iOS mobile phones.

All Teams Panels will have a QR code shown in the top left of the home screen. Panels users can either schedule a new meeting with the room pre-populated for them or easily see the room’s availability for their meetings and book the room with one click.

Microsoft Teams: On-Demand Recording Feature in Webinars MC661825 · Published Jul 28, 2023

Organizers can soon publish the recording of their webinars and automatically send an update to their attendees, in which they will receive a link to watch the on-demand recording hosted on their event page.

Visio will be available soon as a Teams Personal App. There are no changes to the existing file open behavior, however there are new abilities that the Visio Personal App can provide. Additionally, this change comes with a number of UX improvements to the Office ribbon in Teams to provide a decluttered experience consistent with Office for the Web.

Deploy new Microsoft Teams with Microsoft 365 apps MC661241 · Published Jul 27, 2023

Starting in September 2023, we will begin including new Microsoft Teams as part of the new and existing installations of Microsoft 365 apps for Windows depending on the schedule provided in this post. Currently, users can install the new Teams by using the Try the new Teams toggle switch in classic Teams or having administrators bulk deploy directly to the computers in their organization. Read MC533687 and MC617066 for details for earlier announcements for new Teams.

Administrators can exclude installing new Teams from their Microsoft 365 apps deployment if they don't wish to have new Teams included in the installation.

This announcement includes details about the upcoming changes for rolling out the new Teams desktop app with Microsoft 365 apps and details on managing opt-outs. This change is beginning currently for Microsoft 365 Apps for Windows.

We will begin by including the new Teams app as part of new and existing Microsoft 365 app installations on Windows depending on your office update channel and license Type. You will continue to have the classic Teams app included in the installation as well.

Administrators will be able to manage opt-out from this deployment if they do not wish to have new Teams included in the installation. More details in the section below.

 

Join third-party meetings from Teams MC661228 · Published Jul 26, 2023

When a third-party meeting is created from Outlook or OWA, participants of the meeting will now be able to Join the meeting directly from Microsoft Teams. The participants will see "Join" button on the Teams calendar events card and in the meeting details page. On clicking on the Join button, the link will route the users to the browser or the third-party application to join the meeting. This experience will be available on both mobile and desktop.

(Updated) Introducing "Microsoft Default" setting to Teams Tag Management Settings MC591878 · Published Jun 16, 2023 · Last updated Jul 25, 2023

We are introducing a Microsoft Default setting to Teams Tag Management settings in Teams Admin Center.

  • If you have already explicitly made a selection to your Tag Management settings your tenant will not be affected by this change.
  • If you have not made changes to Tag Management settings, Microsoft Default settings will apply for your tenant. Microsoft Default settings currently map to "Team Owners" value but is subject to change in the future.
  • As Admin, please set tag management settings to reflect tenant-level preference. Select “Team Owners” to keep tag management limited to Team Owners, or select “Team owners and members” to allow all team members to create and edit tags. 

In Teams client, users will still see the same options as they do today: "Team Owners" and "Team owners and members".

Teams Auto-Install Approved Apps (AAA) Feature Update MC660072 · Published Jul 24, 2023

Microsoft Teams Auto-Install Approved Apps (AAA) uses activity from your users to install and surface apps that admins have already allowed for the tenant. An admin can enable AAA to help users naturally discover and use apps that are highly relevant to their needs within Microsoft Teams. Specifically, when a user signs into specific SaaS apps using Azure AD (e.g. in web browser), the app will be installed for that user on Teams.

This feature is Generally Available as OFF by default and can be turned ON by admins in Teams Admin Center.

This message is to inform about an update to the feature: when Adobe Acrobat is auto installed by AAA, users who received the auto install will also have their default PDF file handler in Teams changed to open attached PDF files with the Teams Adobe Acrobat app. This experience applies to both new and existing users who have Adobe Acrobat installed in Teams through AAA, as it has been described in the feature documentation. Users benefit from:

  • Discovering Adobe Acrobat easily in Teams without manually searching and installing it, since users are already using Adobe Acrobat outside of Teams.
  • Convenient access to the features they are using when opening a PDF file with Adobe Acrobat.

We will begin rolling out in late July 2023 and expect to complete rollout by early August 2023.

 

Microsoft Teams: Front Row AI (artificial intelligence) enhancements for Teams Rooms on Windows MC660071 · Published Jul 24, 2023

The latest version of Teams Rooms on Windows app 4.18 update includes Front Row AI enhancements including:

As part of the Viva Learning integration with LinkedIn, Microsoft provides free content in Viva Learning that can be accessed by any Viva Learning user without the need for a LinkedIn premium license. As part of this partnership, we are increasing the set of free courses to the Global Skilling Initiative catalog which consists of more than 300 courses. This will replace the existing catalog of 125 free LinkedIn courses available in Viva Learning.

Microsoft Viva: Use of Viva Topics in Viva Engage Grants Visibility of Topic Names MC661222 · Published Jul 26, 2023

In January, we announced the General Availability of Viva Topics in Viva Engage (Yammer) to customers. As part of the Viva Engage topics transition to Viva Topics, posts in Viva Engage (conversations, questions, polls, announcements, storyline posts) will be considered as Viva Topic resources. As a result, all users with access to posts in Viva Engage will be able to see the topic names applied to those posts in Engage as well as in other Viva Topics experiences in Microsoft 365 (e.g., Topic cards and pages).

Migrating Viva Engage to use Viva Topics supports a consistent topics experience in Microsoft 365 and allows for community-sourced knowledge to be accessible across an organization. For organizations not using premium Viva Topics experiences, the use of topics in Viva Engage will appear the same before and after topic migration. For organizations using Viva Topics, you will gain the premium benefits, such as topic cards in Yammer (Viva Engage), Viva topic pages, and centralized topic management.

Opportunity to roll back Teams Live Events to temporarily enable Attendee Guest Web join MC653737 · Published Jul 21, 2023

Recently, we rolled out a change to the Teams Live Events attendee experience which did not allow Guest users to join as an attendee on the Web. This change came about as an update to improve the attendee experience and to support the new RTMP-In experience for Teams Live Events.

To better transition to the new Teams Live Events Experience, we are offering customers the opportunity to roll back the new Teams Live Events version to an earlier version to allow Guest users to join the Teams Live Event as an attendee on the web; however, if you do choose this option, you will lose several new teams live events capabilities for your entire tenant including the following:

Multi-window experience for attendees

Video on Demand (VOD) for Teams Encoder Events

We recommend only choosing this rollback option if attendee Guest joins on Web in a Teams Live Event is important to your organization.

We will support this rollback until the end of June 2024. Please note that Stream external encoder support, otherwise known as RTMP-In, will be deprecated in the future. This is important if your organization is dependent on Stream or the later version of Teams Live Events to support external encoder events or external encoder VOD scenarios. Please refer to Roadmap ID 84960 and MC513601 for more information.

You may request this rollback effective immediately. Once a request is received, it will take approximately 5-10 business days for the changes to be reflected in your tenant.

 

Reminder: Microsoft Defender for Office Empowers End Users to Report Suspicious Messages in Microsoft Teams MC650414 · Published Jul 20, 2023

This is a follow up of Message Center post - MC567478 and MC611677

The ability for Microsoft Teams users to report internal chats, channels and meeting conversations within Teams as a security risk will be turned ON by default. Security risk messages could include ones that contain phishing or spam or malicious content, such as phishing URL or malware file, spam content. To learn how end users can report, please visit: user reported message settings in Microsoft Teams.

NOTE: This only applies to Microsoft for Defender Plan 2 customers or Microsoft E5/ Office E5 customers.

This change began going into effect in mid-July 2023 and will be completed for all tenants by late July 2023, if the tenant hasn't opted out.

Currently, users experience some frustration when using Office products because of all different routes that they must use to access all their content. The Quick Access feature will allow users to access shared libraries from both their SharePoint and Teams locations. When the user opens files from shared libraries, these libraries will show up in the form of a list which will encourage users to save and open files to these libraries with ease. This helps deliver a more consistent, coherent storage location experience across M365 apps. This new backstage experience won’t show up in Teams, SharePoint, or OneDrive but does include storage locations from OneDrive and Teams (sites/channels) which are stored on SharePoint.

IntelliFrame enables multi-stream video, face recognition of in-room participants, active speaker recognition, attributed voice-based transcription, and panoramic video on Front-of-room (180-degree view) and Center-of-room (360-degree view) cameras, taking Teams Rooms on Windows cameras to the next level of intelligence. IntelliFrame is available only with the Microsoft Teams Rooms Pro license.

The Teams Rooms on Windows app update (version 4.18) will include Hybrid meeting enhancements via the IntelliFrame camera technology including:

  • Multi-frame IntelliFrame
  • Conference room attendee “Recognition”
  • Active Speaker
  • Room View

Soon, app suggestions will be organized by tasks that the apps support as opposed to conventional categories (productivity, project management). As a result, the new categorization will reduce the amount of time users need to spend learning about these apps – helping them to work more effectively.

Viva Suite app: Viva Pulse – Enabling Notifications MC649478 · Published Jul 18, 2023

Viva Pulse is a new employee feedback experience that is available for use with your Viva Suite subscription. Viva Pulse empowers managers and project team leaders to request and receive feedback from their teams at any time. Managers and project leads can choose from research-based templates to quickly create a survey and send it to select individuals or groups. They can also track feedback to understand team sentiment over time and show teams they’re being heard by working together to take clear steps to address needs.

With the upcoming release of Viva Pulse (MC613509 June '23), we want to provide some additional information on steps to enable notifications.

What you need to do to get your organization ready - Enable Notifications

Viva Pulse leverages email to deliver notifications. As an admin, you need to execute a script in PowerShell for these notifications to appear. After the script is executed successfully, users will receive email notifications when a feedback author requests a Pulse, when feedback providers are reminded to respond, when a feedback author is notified their Pulse request has closed, and when a feedback author shares a Pulse report.

Enable email notifications for your tenant and ensure you have PowerShell installed:

  1. Connect to the target tenant in PowerShell: Connect-AzureAD - TenantId "TENANT-ID"
  2. When prompted, login as the Tenant Admin / Global Admin for the tenant.
  3. Create the service principle: New-AzureADServicePrincipal-AppId "56233257-15ee-4d3d-bdcd-9aa975244e4c" -DisplayName "Viva Pulse"
  4. Validate that the service principle is created: Get-AzureADServicePrincipal -ObjectId <objectID> where objectId = what you get back after running step (2) OR Get-AzureADServicePrincipal And find Viva Pulse in the list returned

Note that if email notifications are not enabled by running this script, feedback authors may not receive enough responses to their Pulses to review their team’s feedback and notifications increase the likelihood that more responses are generated.

Viva Goals: Date Picker in Check-in Modal to Show UTC Timezone MC649376 · Published Jul 18, 2023
Previously in Viva goals, when making a check-in, the user could update the date of check-in from the check-in modal, which was based on the user's local time zone. Users in different time zones saw the date of check-in and its representation on the progress graph differently, computation of progress and status also became a challenge.
We are unifying the date picker to have the UTC date picker, which means that any Viva goals user making a check-in from any time zone will always see the same date and its representation on the progress graph will be consistent.
Rollout will begin in late July and is expected to be complete by late August.
