(Updated) Web links from Microsoft Teams chats to open in Microsoft Edge; Teams chat will open side-by-side with link MC669480 · Published Aug 21, 2023 · Last updated Dec 1, 2023

Update December 1, 2023: The Microsoft Teams change will now be completed by mid-December instead of late November as previously communicated. Additionally, an issue was discovered with managing this change using GPO and Intune, with a fix planned for early December. To manage this change prior to the fix deploying, please use the Cloud Policy service for Microsoft 365 (formerly the Office Cloud Policy Service).

The Microsoft Teams desktop app for Windows will open web links from Teams chats in Microsoft Edge to enable a new web and chat side-by-side experience.

By opening web links in Edge, users will be able to see those links side-by-side with their Teams chats—web links will open as new browser tabs and the Teams chats will open next to them in the Edge sidebar. This new, single-view Teams experience in Edge is designed to minimize switching between windows and to help users stay in the flow of work while referencing web links.

In parallel to legacy Wiki-based Meeting Notes in channel meetings, Teams across Microsoft are coming together to provide tools that help make meetings more effective. More specifically, we’re improving how you track what you want to discuss (Agenda), what you discussed/decided (Notes) and what you need to follow up on (Follow-up Tasks) in channel meetings. These capabilities are now integrated into the end-to-end meeting experience in Teams, Loop, Planner, To Do, and OneDrive Commercial.

We are introducing a new calling feature. With private line, users will be able to have a private second phone number that they can make available to a select set of callers to call them directly, bypassing delegates, admins, or assistants. Inbound calls to the private line will be distinguished by a unique notification and ringtone. The private line will support incoming calls only.

To provide a unified workflow experience within Microsoft Teams we will be merging the existing Workflows app with the Power Automate app. With this merger the Power Automate app will be changing its name to "Workflows".

There will be no change to user experience within the app. Users will still be able to manage all their flows within the app along with browsing workflow templates or creating a new flow from scratch. Whether you have existing workflows in the Power Automate app or the Workflows app your workflows will persist in the new unified app. Users will still be able to configure new workflows through the various app entry points (tab, bot, message extension, message action, personal app).

A new channels experience in Microsoft Teams has been built with an intuitive design that allows teams to focus and stay on tasks, bring everyone up to speed, and actively engage in real-time. The following features will be rolling out: 

  • The compose box and recent posts will appear at the bottom (previously top) of the channel by default. Users can configure channels to show new posts at the top via the more options ... menu the top of the channel. It'll now be much easier to start a new post, keep up with the latest conversations and participate - giving users the confidence that they’ve not missed anything.
  • Every post is now a true conversation that users can focus on. Users can navigate to a conversation view that makes the discussion more engaging and synchronous, just like a chat. Users can also pop out the post, keep an eye on the discussion, while continuing to work on other topics.
  • A streamlined information pane will include all the important contextual information like channel’s members and pinned posts so new team members can quickly on-board and for all members to find the information they need, right in the channel.
  • Pin posts to make it easy for everyone to know what’s important in the channel and quickly reference it.
  • Simplified badging is making it easier for users to understand when there are new unread activities in teams. In addition, the simplified design helps users focus on the specific channels which requires the most attention, like channels in which the user was @mentioned.

The animated background feature in Teams Meetings allows users to replace their existing background with a dynamic animation for a more immersive virtual environment. It offers various options to enhance meeting experience with creativity and personalization according to users' preferences. Currently, only pre-defined backgrounds from Microsoft are supported. Animated backgrounds are identified by the small video icon in the bottom-left corner of the preview picture.

The new Shared display mode provides users the ability to extend their Teams meeting via a pop-out view-only version of the stage onto the TV screen in BYOD meeting rooms. This mode ensures the meeting content is always extended to the front of the room for others to see. This gives the host of the room the peace of mind their desktop is for their viewing only, giving them the flexibility to multi-task or work privately on their host desktop.

Currently, users experience some frustration when using Office products because of all different routes that they must use to access all their content. The Quick Access feature will allow users to access shared libraries from both their SharePoint and Teams locations. When the user opens files from shared libraries, these libraries will show up in the form of a list which will encourage users to save and open files to these libraries with ease. This helps deliver a more consistent, coherent storage location experience across M365 apps. This new backstage experience won’t show up in Teams, SharePoint, or OneDrive but does include storage locations from OneDrive and Teams (sites/channels) which are stored on SharePoint.

  2. Users who join without signing in will now have the capability to preset and preview video / audio settings prior to joining the meeting.
  3. Simplifying the join process for users with multiple accounts by improving the account switching user experience.

Specific People Link (PSL) Support for Collaborative Notes MC694130 · Published Nov 29, 2023

With the launch of Collaborative Notes, we’re also improving the shareable link type that is created by Collaborative Notes to help make meetings more effective and secure. The new Collaborative Notes file will now support a Specific people link (PSL) which offers more controlled access than People in your organization link (CSL). This change will automatically align the Collaborative Notes file link type with customer's default setup. Customers who previously had Collaborative Notes disabled due to lack of PSL support can now enable and use the feature.

We are thrilled to announce exciting product enhancements to our import and export Excel experiences in Shifts designed to empower frontline managers to achieve more.

Here’s what this feature includes:

Import a schedule includes time off and open shifts:

  • Frontline managers can import assigned shifts, time offs and open shifts through the same Excel file into Shifts. There will be different worksheets for those 3 entities that managers will require to fill in according to what is wished to be imported.
  • To respect Shifts settings, open shifts won’t be synced to Shifts calendar when imported through Excel whenever the open shift setting is disabled for a team.

Export in a format that can be imported’ includes open shifts and time-offs:

  • Frontline managers can export, for a specific period, a schedule that might include assigned shifts, time offs and open shifts.

This new capability allows you to upload organizational data from HR information systems via .csv file to power a variety of capabilities and features across Viva and Microsoft 365. Apps and features like Viva Amplify, Viva Insights, People card, etc. rely on Organizational data to power high value capabilities and new scenarios. Tenants will be able to power Viva Amplify reporting, new displays on employees People cards, and more personalized experiences in Viva and in Microsoft 365. The customization control in the Viva Pulse Admin Experience will soon be managed through centralized feature access management in Viva through PowerShell. This customization control provides admins the ability to turn on or off customization capabilities for survey authors to add their own questions to existing stock templates or edit existing stock questions. With centralized feature access management, admins can configure access at the tenant level, group level (using AAD groups or Microsoft 365 Groups), or at the user level, for maximum flexibility.

Viva Goals Admins or IT admins can mandate that objective and key results (OKRs) should always have a team assignment.

Microsoft 365 Groups Connected Viva Goals Teams MC694124 · Published Nov 29, 2023

Viva Goals is launching this new team set up experience that enables end users to leverage their existing Microsoft 365 groups that they already own to create teams. The connected experience provides an effortless way for team owners to leverage the group membership and policy settings used commonly by Teams, SharePoint and other cloud apps. With this Microsoft 365 group-connected Viva Goals Teams experience, users will be able to also set their team` Viva Goals content as restricted and protect their team OKRs from unintended access.

Community Campaigns in Viva Engage MC694119 · Published Nov 29, 2023

Introducing community campaigns to boost engagement within your community. Now, community admins can easily create campaigns directly within the community. Simply locate the campaign's right rail, click the plus button, and fill in campaign details like #hashtag, description, and default publisher in the pop-up.

Campaigns start as drafts, allowing admins to upload cover photos, set goals, and pin links before hitting the publish button. Admins and regular users can view all community campaigns by clicking "View all campaigns" in the right rail.

Community members are automatically followers of the campaign, and using the community campaign hashtag in posts will display them in the campaign's feed. Conveniently, when typing "#" in the community, a dropdown suggests relevant community campaigns.

We expect to begin rolling out in early January 2024 and expect to complete by late January. 

 

(Updated) Microsoft Viva: Refreshed Landing Experience for Viva Connections Desktop MC682306 · Published Oct 18, 2023 · Last updated Nov 27, 2023

Updated November 27, 2023: Refreshed Viva Connections experience is expected to start releasing within this week to our customers. This new experience will show up to different users in a tenant at different times. By January 2024, we expect to finish rolling out the first phase of this feature to all the customers.

To prepare for this upcoming release, we recommend setting up revamped Resources section ahead of time as per the instructions shared in our previous update.

As part of this update, the Resources section will be updated, and it will be pulling data from a different source other than global navigation. To prepare for this upcoming release, we suggest Connections admins to follow the steps outlined below.:

The refreshed Viva Connections landing experience offers a more intuitive layout and introduces several requested new features including branding capabilities, sending announcements, a revamped Resources section, and support for different card sizes. This experience will also bring the Feed back into the viewport on your Connections page.

Here are the updates that we expect our new layout will offer:

  • Announcements – Important time sensitive information surfaced on desktop, mobile and tablet.
  • Hero section – This new section focuses on org news and brings the Connections Feed into the viewport.
  • Dashboard layout –The Dashboard section is evolving to be more fluid with inline expansion.
  • Resources - Introduces a new section for company curated links different from global navigation. The new section allows for more flexibility to have a unique list with visuals like icons.
  • Viva Suite links relocated - Viva suite links have been moved to the bottom of the experience and will offer links that the user is licensed for with a corresponding description.
  • Full page feed - Full page feed treatment now exists with its own pivot shown at the top of the page.

Rollout will be broken down into two phases:

Currently, there are two customization controls in the Viva Pulse In-App Admin Experience. The ‘Stock Questions’ control allows employees to edit stock questions. The ‘New questions’ control allows employees to create their own questions. In the upcoming release, we will be merging the two controls into one customization control.

This one control, when turned ON, will allow employees to edit stock questions and add their own questions in the Pulse survey. All customization capabilities will be turned ON when this control is ON, and all customization capabilities will be turned OFF when this control is OFF. 

Rollout will begin in mid-September 2023 and is expected to be fully rolled out by mid-January 2024 (previously mid-November).

Customers with Viva Suite or Viva Employee Communications & Communities licenses can currently create up to 10 Connections experiences. We will soon be enhancing that limit to 50 experiences. This will allow greater flexibility for large enterprise customers who are looking to create more than 10 (and up to 50) Connections experiences.

We are excited to announce the upcoming availability of Viva Home, a single web destination for your employees to access all the Viva apps they are licensed for. With Viva Home, employees can gain quick access to all Viva apps and learn how to incorporate them into their everyday work.

Labeled as “Viva”, this new page will be discoverable in the Apps experience at microsoft365.com/apps, as well as in the Microsoft 365 App Launcher. The new experience provides a centralized location for Microsoft 365 users to access all their Viva apps such as Connections, Engage, Insights, Learning, Goals and more on the web. The content displayed on the page will respect the end-user’s license and service plan assignment.

Compared to Viva Connections, Viva Home is the home for the suite on the web with the goal to provide education, discoverability, and navigation to various Viva modules. It cannot be customized. Viva Connections is the company-branded employee experience destination where employees can access daily tasks, workflows, company news and resources. Viva Connections is customizable to incorporate company branding, custom workflows and more.
