Microsoft Teams | Task publishing: Schedule recurring lists and several top requests MC716664 · Published Feb 16, 2024

The task publishing experience allows frontline organizations to distribute tasks across employees spread across geographically dispersed locations and then monitor how that work is going. Task publishing is available in Microsoft Teams as part of the Tasks by Planner and To Do app, which will soon be renamed to Planner.

We're releasing several new task publishing features based on top customer requests and feedback:

  1. Recurring task lists. You'll be able to set recurrence on a draft task list, which will allow you to choose the cadence (such as every month on the 15th of the month). You can then publish the list and task publishing will automatically send future tasks. We know this will be a time saver for distributing repeat tasks across frontline locations. Common applications are weekly/monthly site inspections and compliance walks or daily opening and closing tasks.
  2. Training and policy task lists. You'll be able to create a task list for each member of a recipient team. When you publish the list and choose the recipient teams, a copy of the tasks in the list will be created for and assigned to each member of the recipient teams. This is a great option for training tasks or tasks where employees must acknowledge a new policy.
  3. Form completion requirement. You'll be able to add a form completion requirement to a task, which allows you to create a Microsoft Forms survey that must be completed by a member of each recipient team before that team can complete the task. You can use any Forms question types, including a question that requires a file upload for employees to show their work. You'll be able to centrally review the form submissions across the locations.
  4. Approval completion requirement. Similarly, you'll be able to add an approval completion requirement to a task, which means that the task cannot be approved until an approval of the completed work is requested and granted. The approval can be requested directly from the task details by the user completing the task.

These features will be enabled as part of the rollout of the new Planner experience (more info at https://aka.ms/thenewplanner).

Users think about which tasks they need to complete, such as creating a survey, inside Microsoft Teams. Soon, app suggestions will be organized by tasks that the apps support as opposed to conventional categories (productivity, project management). As a result, the new categorization will reduce the amount of time users need to spend learning about these apps – helping them to work more effectively.

Scheduling, setting up, and managing an event is not a simple task. Which is why we allow co-organizer to be added to the event so they can work alongside or on behalf of the organizer. So far co-organizers were able to set up event theming, manage registration, meeting options, view reports and more but were not able to edit event details like title, date/time, description, event group; nor publish or cancel event. Now they can! Co-organizer can edit event details, publish, and cancel the event like the organizer can. So once the co-organizer is added they will have full parity of experience as organizer and control/manage/edit event.

Microsoft Teams: Limit Presenter Role Permissions MC715431 · Published Feb 13, 2024

Organizers who schedule meetings where attendees are presenters by default will now have a secured Microsoft Teams meetings experience. We are introducing a PowerShell, so admins can control the presenter role permissions in untrusted environments, such as EDU, where students assigned as presenters can remove other students from the meeting.

  • Disable attendee mics/cameras (hard mute) - Educators no longer need to worry about being muted by students in the classroom.
  • Enable single/all attendee mics/cameras - Educators no longer need to worry about students turning off their cameras or muting them during the meeting.
  • Change the roles of other participants - Stop other students from being able to present by converting them into an attendee.
  • Lower participants' hands (including 'lower all hands' from the participant roster in-meeting) - Stop other students from lowering other students' hands.
  • Remove participants - Stop other students from removing participants in the meeting.

Microsoft Teams Meetings currently supports a maximum of 4 videos (2x2) on the screen by default (i.e., Gallery view) on web browsers. With this update, users will be able to automatically see up to 9 videos (3x3) on Chrome and Edge on their screen by default without an explicit action.

For a paused or completed project where owners want to preserve channel content, but no longer want to keep the channel active, they can archive channels now!

Archiving channels will be available for Teams users. You, as a channel owner or administrator can archive a channel you own. By archiving the channel, it will not be available in your and channel members teams and channels list anymore and no more actions will be allowed on the channel like messaging, reacting, commenting, editing etc. In case, you want, you can unarchive the channel as well, by going to manage teams > channels. Team members can hoist the channel in their left rail even after archival.

This feature enables users with personal Microsoft accounts (MSA) using the free version of Microsoft Teams to join and participate in Teams for work (or school) meetings with their signed-in personal account when joining meetings from within the Teams app. This feature also lets these users stay connected with the other meeting participants (retain access to the meeting chat) after the meeting has ended. These users are no longer prompted to join only via a browser and later treated as meeting guests (anonymous).

Use any generic wired (USB-C and 3.5mm) headset for instant team communication on Android.

Frontline workers often need to instantly communicate with each other even when their phones are locked. We integrated Walkie Talkie in Teams with audio accessories partners to make this experience possible with the dedicated push-to-talk (PTT) button on headsets, which instantly brings up walkie talkie for clear and secure voice communication. In addition to select specialized headsets, we are excited to announce that Walkie Talkie in Teams will now work with any generic wired (USB-C and 3.5mm) headsets on Android devices.

As long as the generic headset has a control to play/pause media or to accept/decline calls, frontline workers can use that control to start and stop transmissions on walkie talkie. Frontline organizations will be able to easily start using walkie talkie with these lower-cost generic headsets.

Content camera support will be available on the new Teams app experience for Windows and MacOS. Content camera enables remote attendees to get a clear view of physical objects like whiteboards, printed documents, books, and more that are in a meeting room. Content camera intelligently detects, crops and frames the in-room object and shares its content with remote meeting participants. Even when a presenter moves in front of it, for example the whiteboard, remote participants will be able to see the content right through them.

The Room Remote feature enables touchless meetings by allowing users to control a nearby shared meeting room device from their Desktop/PC with Teams client.

This feature was first launched on Mobile and will now be available on your Desktop device formfactor.

(Updated) Teams admin center: App centric management and changes to app permission policies MC688930 · Published Nov 11, 2023 · Last updated Feb 16, 2024

Updated February 16, 2024: We have updated the timing of this change below. Thank you for your patience.

App centric management introduces new admin settings to control who in the tenant can install Teams apps. First, admins can set a default value for new apps that are published to the Teams app store. Second, admins can manage apps for users, groups, or everyone in the organization. This feature replaces the existing app permission policies and provides admins with the ability to manage access to the app individually. The app permission policies for existing customers are migrated to maintain existing app availability in the tenant.

This feature will gradually roll out across three major phases.

Phase 1 (from late November 2023 to late February 2024 (previously early February) affects the tenants that use only the Global app permission policy and have no custom app permission policies. The app status from the permission policy and tenant settings will be migrated to preserve the admin intent. The migration will not affect the end users and their ability to use the apps. Admins may see the Manage apps page in a read-only mode for a short time.

Phase 2 (more details coming soon as a follow up MC post) affects the tenants that use both global and custom app permission policies. This phase will let the admin choose to migrate to app centric management by following a migration process that will change the existing app permission policies to app assignments in the new app centric model. The admins will have the choice to modify the apps that are assigned using the custom permission policies to be accessible to groups, if they want.

Phase 3 (more details coming soon as a follow up MC post) applies to the tenants that skipped the migration in phase 1 or 2. These tenants will be migrated automatically in this phase.

 

(Updated) Bring-Your-Own-Device IT Admin Experience in Teams Pro Management Portal MC680963 · Published Oct 12, 2023 · Last updated Feb 16, 2024

Note: a Teams Shared Device license will be required per room to have access to the BYOD room's usage report after the public preview period.

BYOD (Bring Your Own Device) rooms are identified as rooms with no MTR (Microsoft Teams Rooms) but equipped with other peripherals such as camera, microphone.

In Teams Pro Management Portal, IT admins will finally have the capability to manage and track these specific BYOD rooms. They will get a comprehensive overview of their BYOD rooms and devices activities. With this new addition, they will gain valuable insights into how these spaces are being utilized and enabling them to make data driven decisions.

We are bringing users a personalized channel feed from people and topics users care about. Instead of going through each channel listed to catch up on what's happening in the org, users can come to Discover Feed in Teams to catch up quickly on relevant channel conversations. 

Users can see why a specific channel post is being shown in their feed and they can also customize their feed preferences by selecting "Do not show post from X person/channel".  Users can also give direct feedback if a post seen on the feed is useful to them or not.

Microsoft Teams: Meeting ID and passcode required to join on Teams Rooms on Android MC716389 · Published Feb 16, 2024

For organizations with a Teams Room Pro license, the room admin will be able to configure and require a meeting ID and passcode to join a meeting from Microsoft Teams Rooms on Android to ensure higher levels of security and privacy. This means that, if you have configured the room to use this feature, the room user is required to enter the meeting ID and passcode when selecting the Join button from the Teams Room calendar.

Microsoft Viva Connections: Scoped search in New Teams MC716386 · Published Feb 16, 2024

In 2023, we introduced scoped search for the Microsoft Viva Connections app in what is now Microsoft Classic Teams. Now we are rolling out scoped search to New Teams.

If you are using Classic Teams, there is no change for your organization.

Microsoft Teams: Updated labels for external participants in meetings MC716008 · Published Feb 14, 2024

In our continuous drive to increase the security of Microsoft Teams meetings, we are updating the labels for the participants' names. To bring in consistency and accuracy to the user labels, we are introducing the term Unverified, which will be seen for all meeting participants who do not have a trusted relationship with the organizer. All participants who are not part of the organizer's organization but are configured as a trusted relationship with the organizer will continue to be termed as External.

Additionally, we are ensuring that all areas within Team meetings - lobby, participant roster, meeting chat, and so on - will consistently show accurate user labels.

Standard Release: We will begin rolling out mid-February 2024 and expect to complete by early March 2024 for all the in-meeting participant views. Other areas within Teams meetings will soon follow with these updates. This will be announced in a future post.

 

Microsoft Teams: Upgrades to importing a schedule in the Shifts app MC716007 · Published Feb 14, 2024

Note: If you are not using frontline worker functionality, you can ignore this message.

In the Microsoft Teams Shifts app, we are upgrading the user experience for frontline managers who create schedules by importing an Excel file. Frontline managers will be able to track progress on their current imports and have a limited view of their import history.

In Microsoft Teams, we are providing manual settings to optimize screen sharing for video clips by reducing lag and improving the quality of video playback when sharing video clips in Teams meetings.

Microsoft Teams: Chat for organizers and presenters in Town Hall MC715693 · Published Feb 14, 2024

This new Microsoft Teams feature for Town Hall empowers organizers, presenters, and even external presenters to engage in private discussions before, during, and after their virtual events. This functionality facilitates real-time collaboration, whether prepping pre-event, coordinating seamlessly during presentations, or debriefing post-event, this feature is your ultimate tool for driving impactful and successful virtual events.

On the Town Hall Scheduling form, the event organizer must define their presenters and external presenters for this exclusive group chat to be created. After the event is created, the organizer can access this chat before/after the event from the Town Hall Scheduling form, the Teams Calendar, or the event's Details page. Presenters (and external presenters from guests and federated tenants) can access this chat before/after the event from the Teams Calendar or the event's Details page. This chat will appear in their chat pane. During the event, organizers, presenters, and external presenters (including anonymous presenters) can access this chat from within the in-meeting chat by selecting the tab for Organizers and Presenters.

Microsoft Teams for Windows is discontinuing support for the legacy ADAL Authentication SDK. MC715681 · Published Feb 14, 2024

Note: This message is relevant to organizations that haven't yet fully transitioned to New Teams on Windows PCs. If every Teams user in your organization is already using New Teams, no further action is required.

New Teams removes support for ADAL (Active Directory Authentication Library), a legacy SDK used in rare cases by Teams Classic. This change is part of our broader effort to improve performance and security.

On Windows PCs, some third-party/custom sign-in solutions leverage undocumented hooks which cause Teams Classic to fall back to the legacy ADAL SDK. This fallback path doesn't exist in New Teams.

This will happen as your organization transitions to New Teams.

 

Introducing the New Teams Telephony Admin Role in Teams Admin Center MC715426 · Published Feb 13, 2024

We're thrilled to announce the addition of a new RBAC (Role-Based Access Control) role in Microsoft Teams Admin Center: the Teams Telephony Admin. This role has been specifically designed to manage telephony-related functions within the Teams Admin Center.

Microsoft Teams: Meeting ID and passcode required to join Teams Rooms on Windows MC715423 · Published Feb 13, 2024

For organizations with a Teams Room Pro license, admins will be able to configure and require a meeting ID and passcode to join a meeting from a Microsoft Teams Rooms on Windows, to ensure higher levels of security and privacy. This means that, if the IT admin has configured the room to use this feature, the room user is required to enter the meeting ID and passcode when tapping the Join button from the Teams Room calendar.

In Microsoft Search, end users will soon be able to search for and find high-confidence matching questions in Answers in Microsoft Viva and Communities in Viva Engage. Licensed Answers in Viva users will be able to post a question to Answers in Viva from Microsoft Search.

Microsoft Viva Glint: Use Microsoft 365 admin center to assign your organization's Viva Glint admins MC715420 · Published Feb 13, 2024

An organization’s Global Admin is set by default as the Microsoft Viva Glint Admin, but they likely are not the ones using the platform. They need the ability to assign the correct person as their organization’s Viva Glint Admin and remove themselves.

Viva Glint (Service) administrators can now be assigned through the Microsoft 365 Admin Center (MAC) in addition to being able to setup within the Viva Glint product. There will not be changes to existing user roles.
